Food Forward fights hunger and prevents food waste by rescuing fresh surplus produce, connecting this abundance with people experiencing food insecurity, and inspiring others to do the same. Fruits and vegetables are collected in Los Angeles and Ventura counties from backyard fruit trees, farmers markets, growers, and wholesalers at the Los Angeles Wholesale Produce Market and beyond. This recovered produce is provided free of charge to people experiencing food insecurity through hunger relief organizations that serve community members in various ways, such as food banks, homeless outreach agencies, domestic violence shelters, transitional youth homes, veteran services, family resource centers, LGBTQ+ teen/adult/senior services, college student assistance programs, programs serving people with disabilities, and many more. Position Overview:
Food Forward is seeking candidates for the position of Administrative Assistant to provide organizational and administrative support to the Food Forward leadership team. The Administrative Assistant will work closely with the leadership team and Board of Directors to facilitate scheduling, communications, and general administrative management.
The ideal candidate will have a positive, “can-do” attitude and is able to work collaboratively with staff and volunteers in a diverse and fast-paced environment; is highly self-motivated, proactive, and organized, with exceptional attention to accuracy; is flexible and has the ability to manage multiple deadlines simultaneously; and has a keen passion for food justice and strong alignment with Food Forward’s core values (below).
Core Responsibilities:
Administrative
Assist with executive meetings and calendars, including scheduling, coordinating meeting notifications and confirmations, sending reminders, and preparing meeting documents, agendas, and meeting spaces (virtual and in-person);
Maintain accurate and detailed calendar of events, due dates, and schedules of executive leadership and Board of Directors/Board Committees to ensure tasks and activities occur as scheduled;
Nuanced use of Google Suite, Microsoft Office 365 including Word and Excel, Asana, and Zoom to prepare a variety of materials from rough drafts or verbal instructions, including reports, memos, forms, correspondence, visual presentations, expense reports and purchase orders from established guidelines;
Establish and maintain files, records, logs, and systems relevant to the leadership team and Board of Director’s ongoing projects;
Create and maintain a variety of tracking systems, Excel and Google spreadsheets, and databases to support Food Forward’s activities
Development Team
Maintain strict confidence by keeping donor, funding prospects, and employee information confidential;
Assist the development team with scheduling and preparing for meetings with supporters, particularly involving CEO, CDO, and members of the Board of Directors;
Prepare and mail donor acknowledgement letters as needed in collaboration with the development team;
Provide support for development projects, such as organizing mass mailings and other development campaigns;
Accurately enter meeting and donor information into the database (Salesforce) and ensure contact records are up to date;
Manage inventory of development collateral and order as necessary
Board of Directors
Support Board of Directors and Board committee meetings, schedule in-person meetings and Zoom calls, prepare and send meeting materials to Board and committee members, and maintain ongoing archival records;
Maintain updated contact lists and biographies of the Board of Directors and Council of Advisors;
Provide research, create materials, and provide other support for Board and governance projects
Office Management
Maintain polite and professional communication on behalf of the executive office;
Accept mail and packages, organize and deliver to appropriate team members;
Receive and process confidential and sensitive information with discretion according to established guidelines and legal standards;
Prepare correspondence for organization’s stakeholders, including notes, gifts, and other packages, as needed;
Support Operations Supervisor as needed in managing facilities and offices;
Receive guests at offices; answer calls, take messages, disperse information and/or direct callers to appropriate personnel
Other Responsibilities
Keep informed of Food Forward public messaging and programs to ensure accurate communications;
Occasionally work evenings or weekends for special events, which may require Southern California travel;
Other duties as assigned
Minimum Requirements:
At least two years of experience providing executive level support, preferably in a mission driven environment;
High level of proficiency with Google Suite and Microsoft Office;
Experience with task management programs (Asana, Trello, etc.);
Demonstrated success in managing calendars of multiple stakeholders

Salary: $45,000 – $48,500
